Attendance does not depend on agreeing to promotional photographs. We seek a separate, clear choice for each purpose, such as private parent updates, the public website, printed promotion and social media. Consent is not pre-ticked or bundled into acceptance of booking terms. We check the authority of the person giving it and involve children in a way appropriate to their understanding. We respect a child’s objection at the time.

Before taking an image, authorised staff check the current permission record and any safeguarding restrictions. Only approved devices and accounts may be used. We do not use personal staff phones or allow visitors to photograph children without permission. Avoid identifying details such as full names, school badges, addresses, live locations and collection information. Never photograph children during toileting, changing or private care.

Store images in approved restricted systems, use only the agreed purpose and delete unselected images promptly. Review published images regularly and apply the approved retention schedule. Parents can withdraw consent through [PRIVACY_CONTACT]. We stop future use and remove images from channels we control where reasonably possible. We explain the limits of recalling printed material or copies already made by others without suggesting that withdrawal is meaningless.

Images needed to record a safeguarding incident or injury require a separate necessity and lawful-basis assessment. Staff must not take intimate images, request them from children or circulate evidence through personal messaging. Follow safeguarding and agency advice.

Families attending events should photograph their own child only where permitted and avoid recording or posting other children without appropriate permission. A photographer or activity partner must have written instructions about use, storage, sharing and deletion. A provider does not automatically obtain permission to use club children in its advertising.

Children’s artwork and creative work also require appropriate permission for promotional use. We do not require families to transfer all rights as a condition of attendance. Stock or staged images must not be represented as photographs of our actual sessions, staff or confirmed premises.
