Your cancellation request

Contact [CLUB_EMAIL] or [GENERAL CONTACT NUMBER] with the child’s name, booking reference and affected dates. We accept a clear cancellation request even if it is not made through a particular form. We confirm receipt and explain the refund calculation in writing.

Any statutory cancellation entitlement that applies takes priority. Before booking we state the position for the particular service. We do not describe all deposits as non-refundable or assume that calling something a camp removes cancellation rights.

If you cancel

If you cancel outside an applicable statutory right, we refund the amount paid less only a fair amount reflecting the direct loss caused by your cancellation. We take reasonable steps to reduce that loss, deduct costs saved and credit replacement income where the place is resold. We do not recover the same loss twice, charge more than the unpaid or paid value of the cancelled service, or impose a penalty. We explain the calculation on request.

Illness or non-attendance does not automatically produce either a full refund or a total forfeiture; the same fair assessment applies unless a more generous published arrangement applies. You do not need to provide a complete medical record to discuss a cancellation. Date changes depend on availability and any reasonable, disclosed additional costs. We cannot guarantee a transfer to another child without the necessary registration and support checks.

For regular after-school places, the written schedule must specify the notice period and explain any notice-period charge on a fair, evidenced basis. [CONFIRM NOTICE PERIOD AND COST JUSTIFICATION].

When we cancel or materially change a service

If we cancel an undelivered session, including because bookings are too low or a venue is unavailable, we offer a refund of the price paid for it. You may instead choose an alternative date or credit; credit is not compulsory. For part-delivery, we assess the affected portion fairly without limiting any further remedy the law provides.

If we propose a significant change to the main activity, area, hours or service, we explain it and offer acceptance, a suitable alternative or cancellation of the affected booking with an appropriate refund. Weather may justify a comparable safe activity substitution; it does not give us an unlimited right to provide a substantially different service.

An event outside our reasonable control may require cancellation or safe collection. We communicate promptly and refund undelivered services under the same approach. Nothing here excludes any legal remedy for our own breach or negligence.

Refund timing and late collection

We process an agreed refund promptly, normally within 14 calendar days, using the original payment route where possible. Any shorter legal deadline applies. We explain childcare-scheme refund restrictions where relevant rather than promising a cash payment that the scheme does not permit.

Late collection charges apply only if their amount, calculation and trigger were clearly given before booking. They must be proportionate to additional costs and not a penalty. [CONFIRM FEE OR REMOVE CHARGE]. Safe care continues until handover regardless of a disputed charge. Repeated lateness is discussed under an individual plan rather than met with automatic unsafe exclusion.
